Sellers (Multivendor)

In a multivendor shop, your customers can become sellers: they list their own products in your storefront, earn a net amount from each sale after commission, and withdraw their balance. Etalasse provides the Sellers and Seller Withdrawals menus to manage all of it.

These features only appear for shops with the Multivendor switch on in Shop Profile, and are available from the Pro plan. Only the shop owner can change sellers, commission, and payouts; staff cannot.

Multivendor settings

Set these in the Multivendor card of the shop settings:

SettingOptionsWhat it does
Seller approvalAUTO or MANUALAUTO: a customer who applies becomes an active seller immediately. MANUAL: applicants stay PENDING until you approve them. A shop that turns multivendor on now uses MANUAL; existing shops stay AUTO until you change it.
Default commissionPercent or fixed amount per unitUsed for every seller without their own commission. It starts at 0, which means the shop earns nothing.
Minimum withdrawalAmount (Rp)Withdrawal requests below this amount are refused. 0 means no minimum.

Seller status

Every seller has one of four statuses:

StatusMeaning
PENDINGApplied, waiting for your approval (MANUAL mode).
ACTIVECan sell, edit products, and withdraw.
SUSPENDEDBlocked by you. Their products are hidden from the storefront and cannot be bought, and the seller cannot add or edit products, upload files, or process orders. They can still see their balance, history, and order list, manage bank accounts, and request or cancel withdrawals, so earnings already credited are never held back.
REJECTEDThe application was refused.

On the Sellers page use Approve (PENDING or REJECTED to ACTIVE), Reject (PENDING to REJECTED), Suspend (ACTIVE to SUSPENDED), and Reactivate (SUSPENDED to ACTIVE). You can add a reason; it is recorded in the activity log and the seller is notified. In the mobile app you can also add a seller manually from an existing customer.

Seller commission

Commission is calculated on the order line total after the item discount and before tax. For rentals the deposit is excluded: commission and the seller's earnings come only from the rental fee and late fees.

  • Shop default: applies to every seller.
  • Per-seller commission: set a type (Percent or Flat per unit) and value in the seller's detail to override the default. Clear it to follow the shop default again. Changing the shop default only affects later orders.
  • The seller's net earning = line value minus commission. Commission and net amounts are recorded on the order line when it is created, so changing a commission only affects later orders.

Balance and ledger

A seller's earnings are credited to their balance when the order completes, once per order line:

  • online shop (retail and digital): the order reaches DELIVERED, including digital orders that are delivered automatically after payment
  • POS sale: when the sale is created and already paid
  • F&B: when the bill is paid
  • booking: when its order is DELIVERED, or when a POS booking is created and already paid

If an order that was already credited is later canceled or refunded, the earnings are debited again through a ledger entry. See Sales.

In a seller's detail you can see:

  • Balance: Available (can be withdrawn), Pending earnings (when you use a payout hold), and Total, plus pending withdrawals (the mobile app also shows the ledger total and what was already withdrawn)
  • Ledger: every credit, refund debit, and withdrawal

On the Sales page you can filter orders by seller. The Sellers report summarizes each seller over a date range: gross sales, commission, net, refunds, credited, paid out, and balance.

Seller payouts

Sellers request a withdrawal from the storefront (the amount cannot exceed their available balance and must be at least the minimum withdrawal). Withdrawal statuses:

StatusMeaning
REQUESTEDRequested by the seller, waiting for you.
APPROVEDYou approved it; waiting for the transfer.
PAIDThe money was transferred to the seller's bank account. Final.
REJECTEDRejected with a reason; the balance goes back to the seller. Final.
CANCELEDCanceled by the seller before approval. Final.

The flow:

  1. the seller requests a withdrawal
  2. you approve (or reject with a reason) in Seller Withdrawals. Only the merchant approves; the Averoa team does not
  3. the money is transferred, then the withdrawal is marked paid with a transfer reference. It is recorded with a payout channel:
    • OWNER: you transfer to the seller's bank account yourself, then press Mark paid and enter the reference.
    • PLATFORM: the Averoa finance team transfers from your shop's online balance. This is only possible while the shop's online balance is still sufficient; otherwise you must pay through OWNER. The Averoa team can also reject a request (with a reason) if there is a dispute.

Only REQUESTED requests can be deleted; PAID, REJECTED, and CANCELED withdrawals can no longer be changed.

Seller money that is still held is not counted in the balance you can withdraw yourself in Withdrawals. Money you pay directly (OWNER) never touches the shop's online balance, while money paid by PLATFORM leaves from that balance.

If the plan is downgraded

If the shop loses the multivendor feature, seller products stay purchasable (they are part of your catalog), sellers can still see their balance and withdraw, and you can still process withdrawals. What stops: new seller sign-ups and sellers managing their products, sliders, and calendars.

Sellers versus Resellers

  • A Seller is a vendor selling their own products inside your multivendor platform.
  • A Reseller is a partner who resells your products. See Resellers.
