Staff, Schedules, and Time Off

For services performed by a particular person, such as a hairdresser, therapist, or doctor, you can register booking staff. Etalasse then makes sure one person is never booked twice at the same time, respects their working hours and time off, and (if you want) lets the customer choose the person. See Choosing Staff.

New feature

Booking staff arrive with this release and are available from the Growth plan. See Booking Plans and Roles.

Booking staff are not login accounts

A booking staff member is the person who performs the service: a name, a colour (for the calendar), a phone number, and a photo. They do not need a Dashboard account. Your hairdresser can be registered without ever logging in.

If the person is also a cashier who logs in, you can link the booking staff member to that staff account. The effect: that cashier can see and handle their own bookings. See Booking Plans and Roles.

Adding staff

Open the Booking staff page and add a member:

  1. enter a name, plus phone, colour, and photo if needed
  2. choose the services they perform. A member is only offered for the services linked to them
  3. set the weekly schedule (see below)

The number of active staff follows the plan: Free 0, Growth 5, Pro 50, Enterprise unlimited. Deactivating a member frees a place.

Weekly schedule

The schedule sets a member's working hours each day. One day may have several intervals, so a break is simply a gap between two intervals.

Several intervals in one dayfor example 09:00-12:00 and 13:00-17:00, break 12:00-13:00

Example: Ani works Monday-Friday 09:00-12:00 and 13:00-17:00, Saturday 09:00-13:00, Sunday off. Customers cannot book Ani at 12:30, and a slot that does not fit entirely inside one interval (for example a 90-minute service starting at 11:30) is not offered.

One member performing several services is booked across all of them: if Ani is doing a 13:00-14:30 colouring, she is not available for any other service at that time.

note

Changing a schedule does not cancel existing bookings. If a booking now falls outside the new hours, the Dashboard warns you and you move it with rescheduling.

Time off and days off

Add time off for a member who cannot work:

  • Whole days: pick a start and end date (for example leave on 21-22 October)
  • Time range: pick the dates and fill in a start and end time, for example 13:00-15:00 on every day of the span (handy for appointments or training)

Add a reason if you like. During time off the member is not offered for new bookings. Remove the entry to open them up again.

If bookings already exist in that time, the Dashboard shows a conflict list (date, time, and booking number). Those bookings are not canceled automatically: contact the customer and reschedule to another member or time.

Deleting or deactivating staff

  • Deactivate a member who leaves: they are no longer offered, and their history stays
  • Delete only works when no upcoming bookings are assigned to them. Finish or move those bookings first
  • after a plan downgrade, listing and deleting still work so you can tidy up
