Plans, Roles, Report Impact, and FAQ
How it affects reports
Etalasse uses the accrual principle: a credit sale is counted as revenue on the day of the sale, because the order is Paid at once. The cash only arrives when the customer pays.
| Report | What happens |
|---|---|
| Sales, COGS, loyalty | Unchanged. Credit sales count like any other sale on the sale day |
| Profit & Loss | Revenue already includes credit sales. There is a Bad debt (write-offs) expense line for written-off receivables, and a receivables outstanding figure. See Profit & Loss Report |
| Cancels and refunds | Reduce revenue like a normal refund |
| Cash drawer and shift | A credit sale counts as non-cash. A cash payment received while a shift is open becomes a PAY_IN; cash returned on a refund becomes a PAY_OUT |
So, the money in your bank and drawer can be lower than revenue while receivables are outstanding. Use the receivables outstanding figure to see the gap.
The customer view: My account balance
A customer with a credit account sees a My account balance page in the online store or their app, for themselves only:
- credit limit, debt, available credit, terms, and days overdue
- the list of open invoices (number, date, due date, status, total, paid, balance)
- a statement per period. Internal notes are hidden, and write-offs appear as an adjustment
The customer cannot pay through the app. Payments are always recorded by you. The page is only for seeing what they owe, so make sure your bank details and shop contact are easy to find. A customer without an account is told they have no credit account.
Plans
Customer credit is available on Pro and Enterprise. Free and Growth do not include it. The reason: credit puts your own money at risk and needs follow-up (aging, reminders), so it sits with the bigger-business tools such as inventory, suppliers, and purchase orders.
| Action | Needs the plan |
|---|---|
| Opening a credit account | Yes |
| Enabling the On Account method | Yes |
| Selling on account | Yes |
| Manual reminder and automatic reminders | Yes |
| Viewing accounts, invoices, payments, reports, ledger | No |
| Recording payments | No |
| Write-offs | No |
| Editing or blocking accounts, changing settings | No |
| Credit notes from cancels and refunds | No |
Gated actions show the upgrade card and a PLAN_LIMIT message. A shop that downgrades can still collect what it is owed: everything not gated keeps working. See Billing and Plans.
Roles
| Action | Owner / Admin | Cashier |

A cashier who tries to record a payment while the permission is off is refused (CASHIER_PAYMENTS_DISABLED). All changes are recorded in the activity log. See also Staff roles.
FAQ
Can a customer without an account buy on credit?
No. Open a credit account for them first. Guest checkout cannot either.
Can bookings, rentals, or F&B orders be sold on account?
No. Those types have their own deposit, hold, or table-bill flows. The same goes for marketplace-seller products, so a seller is not paid for goods the customer has not paid for.
Why is a credit order Paid at once instead of "Waiting for payment"?
The customer's debt lives in the invoice, not in the order status. The order status moves as usual (Shipped, Completed, Canceled).
A customer pays more than they owe. What now?
It is refused. There are no credit balances or advance payments. Record only the amount owed.
The save button was pressed twice. Is it recorded twice?
No. Every payment sheet and write-off is safe to retry.
I want a customer to be able to pay even though the account is blocked.
You can. Blocking only stops new sales. Payments can still be recorded.
I lowered the limit below the debt. What is the effect?
The debt does not change. Only new sales are held back until the debt drops below the limit.
I changed the account's terms. Do old invoices change?
No. Only new invoices.
A customer paid but the order was written off. What now?
A write-off does not undo payments already received. For a goods refund after a write-off, cash is only returned up to what the customer actually paid.
Reminders are not being sent.
Check: the Credit Payment Reminder automation is on, the plan is Pro/Enterprise, WhatsApp quota remains, the customer's phone number is filled in, and a WhatsApp template is available if the customer is outside the 24-hour window. See Payment reminders.
Why is revenue high but cash low?
Because of accrual: credit sales count when sold, cash when paid. See the receivables outstanding figure in Profit & Loss.
