Customer Credit (On Account): Setup
With customer credit (on account), regular or wholesale customers can take goods now and pay later, for example 14 or 30 days from now. Etalasse records how much they still owe, when it is due, and helps you collect it.
Customer credit arrives with this release and is available on the Pro and Enterprise plans. See Plans and roles.
The feature is covered in six pages:
- Setup (this page): credit accounts, settings, the On Account payment method
- Selling on account
- Receiving payments
- Reports and ledger
- Payment reminders
- Plans, roles, and FAQ
Concepts in short
- A credit account belongs to one customer of one shop. It holds a credit limit, payment terms (net N days), a status of Active or Blocked, and private notes.
- Only customers who have a credit account can buy on account. Only the Owner and Admin can open or change accounts.
- Every credit sale opens one receivable (invoice) with a due date = sale date + the account's terms, in the shop's time zone.
- The customer pays later, in one go or in instalments. Every change to what they owe is recorded in an append-only ledger.
- All amounts are whole rupiah, with no rounding.
Opening a credit account
Open the Credit menu in the Dashboard (tabs Accounts, Invoices, Payments, Reports, Settings), then Open account and pick an existing customer. If the customer does not exist yet, add them first in Customers.
| Field | Meaning |
|---|---|
| Credit limit | The highest total debt the customer may hold. Defaults from credit settings |
| Terms (days) | How many days after the sale the invoice falls due. Defaults from credit settings |
| Notes | Internal note, for example "wholesale Senen". Cashiers do not see it |
A customer can have only one account. Opening a second account for the same customer is refused (ACCOUNT_EXISTS).
Opening the first account also sets up the On Account (Tempo) payment method automatically (see below).
Editing, blocking, and activating
From the account detail you can change the credit limit, terms, status, and notes.
- Block an account to stop new credit sales, for example because the customer is behind on payments. Fill in a blocked reason; it appears in the refusal message when a cashier tries to sell.
- Activate the account again to reopen it. The blocked reason is cleared automatically.
- Lowering the limit below the current debt is allowed. The existing debt does not change; only new sales are held back until the debt drops.
- Changing the terms only applies to new invoices. Invoices already issued keep their old due date.
Blocking an account does not erase the debt and does not stop you from receiving payments.
Credit settings
The Settings tab of the Credit menu:
| Setting | Default | What it does |
|---|---|---|
| Default terms (days) | 30 | Pre-filled when opening a new account |
| Default credit limit | 0 | Pre-filled when opening a new account |
| Grace days | 0 | How many days an invoice may be past due before new sales are refused. See Check rules |
| Cashiers may record payments | Off | When on, cashiers may record customer payments. See Roles |
| Allow credit on the online store | Off | When on, customers with an active account can choose On Account at online checkout |
| Reminder before due date (days) | 3 | The early reminder. Enter 0 to turn it off |
| Repeat reminder every (days) | 7 | Gap between reminders after the due date. Enter 0 to turn repeating off |
You may change any subset of the settings. Settings can still be edited after a plan downgrade.
Credit on the online store is off by default. A public checkout should not extend credit unless you decide so. Turn it on only if your B2B customers usually reorder through the online store.
The On Account (Tempo) payment method
Selling on account uses a dedicated payment method called On Account (Tempo). Once enabled it appears in the Payment Methods list. There are two ways to set it up:
- opening the first credit account (automatic), or
- the payment method setup button on the Settings tab.
Both are safe to repeat. Enabling the method requires the Pro or Enterprise plan.
In the POS and Dashboard, the On Account button only appears when a customer is selected, has an Active account, and the order is of a supported type. On the online store the method is hidden automatically unless Allow credit on the online store is on and the signed-in customer has an active account.
