Seller Verification and the Verified Badge
Verification lets you review a seller's documents (for example ID or a business permit) and then award a Verified badge that shows on the storefront. Verification is separate from approval: a seller can be ACTIVE without being verified.
This is only for Multivendor shops, and only the shop owner can review documents and verify. Admin, Cashier, and Kitchen have no access, because identity documents are confidential.
1. Decide which documents to ask for
In Shop Config, Multivendor card, fill Required seller documents with Add document: up to 10 rows, each with a Document name (for example "ID card"), a Key (generated from the name; lowercase letters, numbers, and underscores only), and a Required switch. Leave the list empty if you do not ask for documents.
The Verified badge can only be awarded when at least one document is required. With no required document the Dashboard shows "No required documents are set, so there is nothing to verify yet." and a Set required documents in Shop Config link, so the badge always means you reviewed evidence.
2. The seller uploads
In Seller Center, the seller opens the Documents page with one row per document: its status (Not uploaded, Waiting for review, Approved, or Rejected), the Required mark, the Shop note, and the Upload or Replace, View, and Delete document buttons.
- PDF, JPG, PNG, or WEBP, at most 5 MB (checked from the file's contents, not its name)
- replacing a file sets the status back to waiting for review
- a seller of any status, including
PENDINGapplicants, can upload
Files are stored privately and can only be opened through a private link that expires in about 2 minutes. They are never public and never appear in the Media Library.
3. Review documents
There are two places to review, both owner only:
- the Documents tab on the Sellers page (web Dashboard and the app): a queue of every seller's documents, with seller, document, status, and upload date
- the Verification tab in a seller's detail: that seller's documents, what is Still needed, and the verification buttons
Choose View on a document to open the Review document dialog:
| Action | What it does |
|---|---|
| View file | opens the file through a temporary link. Open it right away; do not store it |
| Approve | a waiting or rejected document becomes approved |
| Reject | a waiting or approved document becomes rejected. A Note to the seller is required when rejecting (up to 255 characters) and is shown to the seller as the Shop note |
| Delete | removes the document and its file after the "Delete this document?" confirmation. The seller has to upload it again |
If the seller replaces the file while you are looking at it, the Dashboard shows "The seller replaced this file in the meantime. It was reloaded, so look at it again."
4. Verify the seller
In the Verification tab:
- Mark as verified awards the badge. It is enabled only when every required document is approved; until then the Dashboard lists what is still needed
- Remove verification removes the badge after the confirmation "The Verified badge disappears from the storefront right away. You can verify again later."
The Sellers list shows a Verified badge on verified sellers.
A verified seller stays verified when documents change
A verified seller stays verified even if a required document is later replaced or rejected, so the badge does not disappear because of a harmless re-upload. Instead the seller list shows the warning "A required document changed after verification. Check it again." so you can re-check it or remove the verification yourself.
The Verified badge
A verified seller gets a Verified mark on the public seller page, product cards and product detail, and in the seller directory, where customers can also use the Verified only filter. The storefront only learns verified or not, never documents, dates, or reviewer data. Verifying and removing verification show on the storefront immediately.
Deleting a seller
Deleting a seller deletes all its documents (records and files) right away and removes its badge. If the person applies again, they start with no documents and no badge.
If the plan is downgraded
Sellers can still view and delete their own documents, but uploading new ones needs the multivendor feature in your plan.
