Rescheduling Bookings
Customers' plans change. Etalasse lets a booking be moved to another time or date without canceling and rebooking, so the deposit and the order stay intact. The move is atomic: the old slot is released and the new one taken together, or nothing changes.
Rescheduling arrives with this release and is available on every plan.
Policy settings
Open the Booking policy page to set the rules for customers:
| Setting | Default | Meaning |
|---|---|---|
| Customers may reschedule | off | while off, customers cannot move bookings themselves. You still can |
| Maximum reschedules | 1 | how many times a customer may move one booking (1-10) |
| Notice before start | 24 hours | customers cannot move a booking that starts in less than this (0-720 hours) |
| Deposit refund window | 24 hours | free cancellation up to this many hours before the start (0-720). See Deposit |
| Customers may cancel | on | customers may cancel a paid deposit booking |
| No-show grace | 0 minutes | a no-show can only be recorded after start time + grace (0-1440) |
| Automatic no-show | off | see No-shows |
All of it is optional: a shop that changes nothing behaves as before, with customers unable to reschedule online.
Rescheduling by the customer
When enabled, the customer opens My bookings, picks a booking, and chooses Reschedule. They pick a new date, (member,) and time from slots that are really free, and see their remaining reschedules and the deadline.
A customer cannot reschedule when:
- the feature is off in the policy
- the reschedule allowance is used up
- the start is close (past the notice limit). Example: with 24 hours notice and a booking on 20 Oct at 13:00, the last moment to move it is 19 Oct at 13:00
- the booking already started, was canceled, or was a no-show
- the order is unpaid and expired, or its status is no longer active
- the chosen time equals the old one or is already taken
The reason is always explained to the customer. You get a notification when a customer moves their booking.
Rescheduling by the merchant
Owners and Admins (and a cashier for their own bookings) can move a booking from booking detail → Reschedule:
- pick the new date
- pick a time (or session) from the free slots. The booking's own slot counts as free
- pick a staff member if needed, and add a reason (shown in the history)
- confirm
Merchant moves are not limited by the reschedule allowance, the notice limit, or the customer switch, and they do not count toward the customer's allowance. The booking must still be active (not started, order awaiting payment or Paid) and the new slot must be free. The customer gets an in-app notification.
It fits well when a staff member is on leave: add time off, read the conflict list, then move them one by one.
What does not change when moved
- The price is not recomputed. The customer keeps the price they were charged, even if a seasonal price rule on the new date differs
- The deposit and balance stay the same. The deposit refund deadline follows the new start time
- The staff member is kept if still free. If not, a "Choose or anyone" service is moved automatically to another free member; you can also pick a specific one
- The reschedule history (who, when, from and to) is kept in the booking detail
