Completing Bookings

After the session has taken place, press Complete on the booking. The booking then has the status Completed. A completed booking records that the service was delivered, and its order moves to Delivered so reviews, seller earnings, and notifications work like any other order.

You can complete bookings one by one, or let Etalasse complete them automatically a few hours after the session ends.

New feature

The Complete action is available on every plan and only for Booking shops. Nothing changes until you press Complete or switch on automatic completion.

Booking statuses

An active booking (badge Confirmed once paid) ends in one of three final statuses: Completed, Canceled, or No-show. There is no way back from a final status.

A completed booking keeps occupying its slot, just like an active one. So completing a booking right when the session starts does not open the rest of the session for someone else to book. Only canceled or no-show bookings release the slot.

Completing one booking

Open the booking detail (from the list or calendar), choose Complete, and confirm in the Complete booking dialog. All of these must hold:

  1. the booking is still active (not completed, canceled, or marked no-show)
  2. the order is Paid, On delivery, or Delivered
  3. the session start time has been reached by the shop time zone. If it is too early, the Dashboard shows the earliest allowed time
  4. there is no uncollected balance on a held deposit. Record the balance payment or waive it first

When a condition is not met, the Complete button is disabled with an explanation, for example "This booking can be completed from ..." or "The remaining balance has not been collected yet. Collect it (or waive it) first." Pressing Complete twice is harmless: an already completed booking does not change.

The booking detail records when it was completed and by whom: by the shop, by the seller, or automatically.

Effect on the order

After a booking is completed, if every booking in the order is in a final status and at least one is Completed, the order automatically becomes Delivered. It goes through the normal status flow, so the usual effects apply, exactly once:

  • seller earnings are credited
  • the customer can leave a review
  • the "Order delivered" notification, referral, and staff commission run as usual

Notes:

  • an order with one completed booking and one canceled or no-show booking becomes Delivered. An order whose bookings are all canceled or no-show is left alone
  • if the order still has other bookings that are not finished, it does not become Delivered yet, the customer gets a booking-completed notification, and the Dashboard shows "Booking completed. The order will be delivered once the other bookings in it are finished."
  • if the order also contains physical goods sold with the service, the order moves to Delivered when you (owner or staff) complete the booking; when a seller completes it, the order is delivered only if all those goods are that seller's own. Otherwise, and when the system completes it, the order waits for you to finish it from Sales
  • the older way still works: setting the order status to Delivered in Sales does not change the booking's own status

Automatic completion

On the Booking Settings page, in the Completing bookings section, turn on Complete bookings automatically and fill in Hours after the session ends (0-720; 0 means right after the session ends). Clear it or switch it off to disable it. It is off by default.

The system checks every 10 minutes and completes bookings that:

  • are still active with an order that is Paid, On delivery, or Delivered
  • are past the session end time plus the hours you set
  • have no refund on the order, are not in the deposit-refund-due state, and have no uncollected deposit balance

Only sessions after you switch it on

Automatic completion applies only to sessions that end after you turned it on. The Dashboard shows "Active for sessions ending after ...". Old bookings are not bulk-completed when you switch it on. Changing the number of hours does not move that date; switching it off and on again moves it to the new moment.

Only orders made entirely of bookings

Automatic completion always completes the booking. But the order is moved to Delivered automatically only when every line of the order is a booking. If the order also contains physical goods (the shop's own or a seller's), the system does not mark those goods as delivered: the order waits until you finish it.

Cannot be on together with automatic no-show

Mark no-shows automatically fires minutes after the session starts, while automatic completion waits for the session to end. With both on, automatic no-show would mark every booking before it could be completed. So the two cannot be on at the same time:

  • while one is on, the other switch is disabled in the Dashboard
  • if you try anyway, the Dashboard refuses with "Automatic no-show and automatic completion cannot both be on. Turn one of them off first." Turn one off first, or change both in a single save

Choose by habit: automatic no-show for shops that keep the deposit of customers who do not show up; automatic completion for shops that want orders, reviews, and seller earnings to move without manual work.
