Credit Reports and Ledger
The Reports tab of the Credit menu and the account detail provide reports to monitor who owes you, since when, and how well collection is going. Reports are for the Owner and Admin only.
Customer statement
From the account detail, open Statement. Choose a date range (inclusive days, Jakarta time zone) or leave it empty for the full history (maximum 5,000 rows). It contains:
| Part | Meaning |
|---|---|
| Opening balance | The debt at the start of the period |
| Invoiced | Credit sales in the period |
| Paid | Payments received |
| Credit notes | Reductions from cancels and refunds |
| Written off | Write-offs |
| Closing balance | The debt at the end of the period |
Opening balance + invoiced - paid - credit notes - written off = closing balance. Etalasse marks the statement as balanced when this adds up. Below it are the individual entries and the invoices still open.
The statement can be downloaded as CSV (columns: id, UTC time, type, invoice number, note, amount, balance).
Aging
Aging groups outstanding invoices by how many days they are past the due date:
| Bucket | Meaning |
|---|---|
| Current | Not yet due, or due today |
| 1-30 | 1 to 30 days late |
| 31-60 | 31 to 60 days late |
| 61-90 | 61 to 90 days late |
| 90+ | More than 90 days late |
The table is per customer with totals and invoice counts, plus the grand total and the total already overdue. It can be downloaded as CSV.
Outstanding, collections, and summary
- Outstanding (per customer): credit limit, debt, available credit, oldest due date, days overdue, and status. CSV available.
- Collections: money received in a period (default this month), the total and count, broken down by method and by payment. CSV available.
- Summary: cards for outstanding, overdue, open invoices, number of accounts, blocked accounts, and total credit limit. The same numbers appear as a card on the Dashboard home.
Summary formulas
| Figure | How it is calculated |
|---|---|
| Outstanding | The total balance of all invoices right now |
| Overdue % | The part of the outstanding that is past due, as a percentage |
| DSO (days sales outstanding) | Outstanding now divided by credit sales in the period, times the number of days in the period |
| Collection rate | Money received in the period divided by (outstanding at the start of the period + credit sales in that period) |
| Average days to pay | Average days from invoice date to payment for the money received in the period, weighted by amount |
Example: in 31 days you sold Rp4,000,000 on account and received Rp2,500,000. If the outstanding is now Rp1,200,000, DSO = 1,200,000 / 4,000,000 x 31 = 9.3 days.
A figure that cannot be computed, for example because there were no credit sales, is shown empty.
The ledger
Every event that changes what a customer owes leaves one row in the ledger, with the balance before and after:
| Type | Direction |
|---|---|
| INVOICE | Increases the debt (+) |
| PAYMENT | Decreases (-) |
| CREDIT_NOTE | Decreases (-) |
| WRITE_OFF | Decreases (-) |
Ledger rows are never edited or deleted (append-only), and the before/after balances of each account chain without gaps. You can filter by account, customer, type, and date. An account's balance always equals the total of its invoice balances, and is never negative.
