Payment Reminders
Etalasse can remind customers on WhatsApp before and after the due date, so you do not need to chase them one by one.
Automatic reminders require the Pro or Enterprise plan and use your plan's WhatsApp quota.
Turning it on
Automatic reminders only run when the WhatsApp automation Credit Payment Reminder is enabled on the WhatsApp automations screen. It is off by default. The reminder timing is set in credit settings.
The daily job
Every day at 09:00 WIB, Etalasse:
- marks OPEN or PARTIAL invoices that are past their due date as OVERDUE (by the shop's calendar), and
- sends WhatsApp reminders, only for shops with the automation enabled.
Reminder stages
| Stage | When |
|---|---|
| Early | Once, when the due date is N days away (Reminder before due date, default 3). Enter 0 to turn off |
| First overdue day | Once, on the first day past due |
| Repeat | Every N days (Repeat every, default 7). Enter 0 to turn off. At most 13 overdue reminders per invoice |
The same message is never sent twice (a duplicate-prevention log).
Message content and template
The message contains the customer name, invoice number, amount due, due date, and shop name. The default text can be edited on the automations screen using the variables {name} {invoice} {amount} {due} {shop}.
WhatsApp only allows free text within 24 hours of the customer's last message to you. For messages outside that window a Meta-approved template is needed, with exactly five positional variables: (1) customer name, (2) invoice number, (3) amount due, for example Rp 1.250.000, (4) due date YYYY-MM-DD, (5) shop name. This template is configured by the Etalasse operator; contact Etalasse support if you need it. Without a template, the message is sent as free text and only arrives if still inside the 24-hour window.
Remind now
From the account detail, Send reminder sends one reminder immediately. The limit is once per account per day. The result shows whether the message was sent. This also requires the Pro or Enterprise plan.
WhatsApp quota
Each reminder uses your plan's monthly WhatsApp quota, like any other WhatsApp message. When the quota runs out, reminders are not sent. See Billing and Plans.
