Expenses

Use the Expenses page to record your shop's running costs, such as rent, salaries, and electricity. These expenses are used to work out net profit in the Profit & Loss report.

Open it from Finance → Expenses in the Dashboard.

What you manage here

  • recording new expenses
  • viewing the list of recorded expenses
  • editing or deleting an expense entered by mistake

Expense form fields

  • Name — for example, "October shop rent"
  • Date — when the cost happened; this date decides which report period it falls in
  • Amount — the amount in rupiah
  • Category — choose one:
    • Rent — rent for your shop or workspace
    • Salaries — staff wages and salaries
    • Utilities — electricity, water, internet, and similar bills

    • Other — anything that doesn't fit the categories above

Typical workflow

  1. open Finance → Expenses from the Dashboard navigation
  2. add an expense: fill in the name, date, amount, and category
  3. add a note if needed, then save
  4. open the Profit & Loss report to see how it affects net profit

Things to watch

  • expenses apply to the whole shop, not to a single branch
  • only the owner and admins can see and record expenses; cashiers can't see them — see Staff roles
  • don't record stock purchases here — the cost of goods is already counted through the cost price, so recording it again counts the cost twice
  • record expenses regularly, for example every week, so net profit doesn't look higher than it really is
