Activity Log
The activity log records who changed what in your shop, and when. Use it to answer questions like "who lowered this product's price?" or "who canceled yesterday's order?".
Only the shop Owner can open the activity log. Admins and Cashiers can't see it. See Staff roles.
New feature
The activity log launches with this release. The page may look slightly different from the description below, but it works the same way.
What is recorded
| Activity | Before and after values |
|---|---|
| Product price changes | Yes — for example Rp25,000 to Rp20,000 |
| Order status changes | Yes — for example Paid to Shipped |
| Order refunds | — |
| Order cancellations | — |
| Staff role changes | Yes — for example Cashier to Admin |
| Shop settings changes | — |
| Owner account security changes (2FA, recovery codes, sessions) | — no keys, codes, or passwords |
Each entry shows who made the change, what changed, and when.
How long entries are kept
Entries are kept for 180 days (about 6 months). Older entries are removed automatically. If you need proof for longer, for example for bookkeeping, save a screenshot or your own note before the 180 days pass.
Data that is never stored
For security, the activity log never stores:
- passwords, including when you or a staff member changes one
- full bank account numbers
When to use the activity log
- a price changed without you knowing — look up that product's price changes and see who made them
- an order was canceled or refunded — check who did it, then compare with Sales
- staff access changed — make sure no one raised their own or someone else's role without permission
- shop settings look different than usual — trace who changed them
Good practices
- give every staff member their own account in Staff; if one account is shared, the activity log can't show who did what
- review the activity log regularly, for example once a week
- if you find a suspicious change, change that staff member's role or deactivate their account right away
